VENDOR BOOTH: FEES, DEFINITIONS

Maximum 10’x10’ area permitted. 

Self-provided 10’x10’ tents, tables, chairs are permitted and encouraged.  Festival does not supply any rentals. Electricity not available.

Prestigious “SPONSORS’ CIRCLE” includes use of Festival's Tent, tables & chairs. Call today about many additional “SPONSORS’ CIRCLE” benefits.

____    $  35      Booth: Nonprofit Organization (Fee can be waived with 2 hours of Festival volunteerism if pre-approved by Festival staff.) Any non-profits or charitable organizations recognized by State of Ohio, public educational institutions, churches, libraries, senior services, civic clubs, or scouts AND shall provide a free family-friendly and/or safe children’s gift and/or educational station. No selling permitted

____   $  50      “Friends For The Festival” Sponsor   Friends, families, businesses and more who wish to help support the annual Powell Festival and over 200+ family-friendly offerings to the community and do not require a Booth space. Benefits include being named as “Friends For The Festival” Sponsor on larger printed marketing pieces, over 20,000 Programs, website and media articles where permitted unless donor requests to remain anonymous.

____   $ 100      “Families For The Festival” Sponsor   Friends, families, businesses and more who wish to help support the annual Powell Festival and over 200+ family-friendly offerings to the community and do not require a Booth space. Benefits include being named as “Families  For The Festival” Sponsor on larger printed marketing pieces, over 20,000 Programs, website and media articles where permitted unless donor requests to remain anonymous.

____    $325      Booth: Home-Based Business or Non-Profit Sales Vendors who wish to sell/display a larger sampling of their own or others’ goods which can include some or all commercially produced items (Pampered Chef, Avon, Tastefully Simple, Watkins Products, Tupperware, Miche Bags, Mary Kay, Arbonne, Mona Vie, Lia Sophia, Cookie Lee, Jafra, etc.,etc.)  and do not use a professional showroom, office building or retail establishment, etc. Also for Non-Profit Fundraisers.

____    $500      “Community” Sponsor Friends, families, businesses and more who wish to help support the annual Powell Festival and over 200+ family-friendly offerings to the community and do not require a Booth space. Benefits include being named as “Community” Sponsor on larger printed marketing pieces, over 20,000 Programs, Website and media articles where permitted (unless donor requests to remain anonymous).

____    $625      Booth, Community Sponsor: For-Profit Business Any for-profit business with professional offices, showrooms, retail establishments, etc. who wish to sell/display goods or services. Benefits include being named as “Community” Sponsor on larger printed marketing pieces, over 20,000 Programs, Website and media articles where permitted.

____    $625      Booth, Community Sponsor: Governmental Agency Agencies where more than 50% of funding is from Public sources (such as Law Enforcement Departments, Village/City/Township/County Agencies, etc.). Benefits include being named as “Community” Sponsor on larger printed marketing pieces, over 20,000 Programs, Website and media articles where permitted.

____    $625      Booth, Community Sponsor: Political Two types permitted; benefits for both include being named as “Community Sponsor” on larger printed marketing pieces, over 20,000 Programs, Website and media articles where permitted:  1.      A political party, committee, association, fund, or other organization (whether or not incorporated) that is required to file a statement of organization with the state board of elections or a county clerk or that seeks to attain and maintain political power within government, usually by participating in electoral campaigns.    2.      If promoting an Individual Candidate and that Candidate is to be present anytime during Festival, separate Booth required per Candidate.    

____    $1,500   For-Profit Business with Stage Performance, Booth, Community Sponsor Entertainment business who wishes to perform up to 30 minutes on Stage during Festival hours if pre-approved. Benefits include being named as “Community Sponsor” on larger printed marketing pieces, over 20,000 Programs, Website and media articles where permitted. Includes Booth in prestigious SPONSORS’ CIRCLE if requested.  

____    $1,500   “Fireworks” Sponsor Booth  Friends, families, businesses and more who wish to help support the annual Powell Festival Fireworks celebration on Saturday night. Benefits include being named as “Fireworks Sponsor” by the headliner music band or Emcee before Fireworks celebration, name on larger printed marketing pieces, over 20,000 Programs, Website and media articles where permitted. Includes Booth in prestigious SPONSORS’ CIRCLE if requested.

PRODUCTS

List ALL Items to sell, display, or giveaway and educational station activity. Vendors will be notified upon acceptance if any items are NOT approved.  Soda, water, coffee, teas or alcoholic beverages shall NOT be sold, given for free or dispersed in any way from these Booths (requires approved Food Vendor Contract).

FESTIVAL DATES (HELD RAIN OR SHINE)

2011: Friday June 24th (5:00-11:00PM) & Saturday June 25th (Noon-11:00PM)  

BOOTH HOURS FOR VENDORS

Friday 5:00 to 9:00PM. Saturday Noon to 9:00PM

CONFIRMATIONS

Vendors receive complete Staging Instructions (includes instructions on times, parking, tear-down requirements, etc.) and acts as your only confirmation; sent via email no later than June  17.  All Fees must be pre-paid. Nonrefundable once accepted. $30 fee for insufficient funds. If Contract is not accepted, fees are returned within 30 days and act as notification of such.  

STAGING RULES

·         Vendors must incur all labor duties during staging. Festival staff/volunteers are not permitted to assist Vendors with product.

·         Vehicles permitted on grounds up to 15 minutes (maximum) during the following times (only):            

If arriving Thursday June 23, anytime from 4:00PM until 6:00PM  

If arriving Friday June 24, anytime from 9:00AM until 1:00PM (at latest)

To replenish items Saturday June 25, anytime from 8:00AM until 11:00AM (at latest)                             

For the safety of Powell Festival’s 20,000+ visitors, staff and vendors, staging directions must be respected. Initial here to show acceptance: _______. 

The undersigned Exhibitor agrees that this is not a lease but only permits the temporary use of space provided for the duration of the “Powell Festival” and acknowledges that its activities in conjunction with the event are done at own risk. The undersigned, who is authorized to execute this agreement on behalf of Exhibitor, warrants that they shall hold harmless and indemnify Historic Downtown Powell, Inc. (HDPI), Powell Festival Club, City of Powell, their members, sponsors, volunteers, agents, officers, directors and employees from any and all claims from any cause, for injury, damage, loss, theft, actions, claims and liabilities to persons or property arising out of its activities. All of the above regulations must be observed or HDPI reserves the right to have offenders of any regulations immediately removed without refund. The undersigned agrees to abide to all terms and conditions set forth therein.
